Automating Student Registration Leads to More Meaningful Parent Connections

The Bay Area district is focused on providing outstanding academics for all of its students, as well as a service-oriented experience for its entire parent community.

Challenge

To register new students, as well as manage student documents, the district was utilizing a paper-based system which, over time, proved too time-intensive for parents and staff alike. The district knew it needed a more efficient process. “Our parents are tech-savvy, yet we were making them complete the registration process and fill out school forms in an old-school way,” said Marci Trahan, assistant superintendent of RVSD and 25-year veteran of the district. “We needed something faster and easier. We needed a way to automate these back-office operations so that our interactions with parents could be focused solely on more substantive topics.”

RVSD began exploring online student registration options to better serve its parents and to improve operations for its administrative staff.

Solution

After researching multiple online solutions, RVSD selected SchoolMint because of its ability to streamline all aspects of the student registration and form submission processes, as well as seamlessly integrate with the district’s student information system (SIS), Aeries. SchoolMint’s mobile accessibility and customization features were also deciding factors for RVSD.

“We wanted it to be easier for families to fill out forms, add multiple children, and make updates each year without having to completely repeat the entire process again,” said Trahan. “SchoolMint provided us this flexibility.”

Additionally, with SchoolMint, the district is able to send parents and guardians reminders via email, voicemail, or text about pending deadlines and incomplete or incorrect registration entries.

Measuring Success

Moving to an online system is already saving parents valuable time, improving the district’s efficiency, and helping RVSD better track incoming registrations. “With SchoolMint, our administrative assistants no longer have to enter anything in Google docs – it’s already online for them,” said Trahan. “Plus, it allows us to see which registrations are in progress, which is something we couldn’t do before. We’re able to reach out to parents who have started the process to hear whether they’re planning to complete registration and to offer them help if they need it.”
